Oracle acquired Cimmetry Systems, the makers of AutoVue enterprise visualization software, as part of its acquisition of Agile Software. Oracle’s AutoVue solutions provide a Web-based capability to natively view, mark up, and collaborate on documents throughout the extended enterprise without requiring investment in specialized computer-aided design (CAD) tools and without compromising security or precision. Profit spoke with Dave Flame, Oracle vice president, technology global sales support and AutoVue global sales, and Paul Giaconia, Oracle group vice president, AutoVue application development and product strategy.

Profit: What is AutoVue?

Giaconia: AutoVue focuses on what we call enterprise visualization, which speaks to a basic business problem that we’re trying to solve. AutoVue is a document-agnostic solution that allows you to securely read, view, and enable annotation and collaboration on virtually any document, regardless of the software tool that was used to create it.

Flame: Customers leverage AutoVue in three ways: to enable significant improvement in engineering processes, such as the iterative design, review, and approval process; to enable significant improvement in broader business processes that utilize technical content, such as supply chain, call center, logistics, and asset management; and to address the unique operational and security needs of business-critical and highly confidential technical content.

Profit: What business challenges does enterprise visualization address?

Giaconia: Many companies have invested heavily in desktop tools aimed at improving productivity. Examples are things like CAD or electronic design automation, or even office automation tools. While those investments have helped improve individual productivity, they don’t work on a larger scale because each of those tools has a proprietary document format. In order to share documents electronically throughout the organization, you have to have many copies of the tools themselves, which is expensive and impractical. Take the U.S. construction industry, where such collaboration is essential. There are estimates that this industry in the U.S. alone wastes about $16 billion a year on this problem. The industry would like to seamlessly be able to share engineering and installation drawings, specifications, and project plans across the entire design and supply chain, but because tools used to create these documents are proprietary, organizations are severely limited in being able to share information electronically. AutoVue solves the problem and eliminates the waste.

Profit: How is AutoVue used?

Giaconia: Let’s say you’re in the oil and gas industry, and you want to share a facilities drawing with maintenance suppliers. With a traditional solution, you would have to equip your supply chain with very expensive solutions to do that. With AutoVue you just do it over the Web. AutoVue improves productivity by enabling the access of specialized documents throughout the organization without expensive tools. This product drives dramatic improvement in design, review, and approval processes and in the collaborative process inside the company and with the extended supply chain.

Flame: AutoVue can also drive process improvement in broader business processes, especially in technical content management. Oracle is already strong in the enterprise content management space—think of Oracle Universal Content Management, Oracle Beehive, and Oracle Database. But right now, businesses are used to a paradigm of content management that involves checking documents out and checking them back in to control versions. Yet in some cases technical documents are really large, and moving them around on the network is costly. Other documents include proprietary information, and for security reasons, you might not want them being downloaded onto a desktop. AutoVue delivers a faster and more secure way to accomplish sharing and editing of technical documents.

Giaconia: Historically, this type of product has been most useful in organizations that deal with product lifecycle management. But, for example, maintaining a piece of capital equipment can be done much more effectively if employees have access to related engineering drawings. An asset lifecycle management solution that has visualization and collaboration attached to it enables you to do a much better job of diagnosing problems and performing maintenance activities.

Oracle has applications that span entire product lifecycles, from ideation to retirement. Attaching AutoVue functionality to the right business flows or processes will be a great complement to Oracle’s applications.

Profit: How can AutoVue benefit existing Oracle customers?

Flame: AutoVue provides significant value to Oracle’s applications business, because it provides unique new capabilities as a standalone solution and magnifies the value Oracle customers receive from complementary applications such as customer relationship management, asset management, and product lifecycle management. Implementation Support

We refer to our implementation approach as a “structured” approach. We carefully evaluate the client’s implementation project needs before making recommendations on the most effective and efficient approach. KPMS Implementation Methodology follows a 6 step approach:

Step 1: Readiness Assessment

The readiness assessment step allows us to assess and gain an understanding of the client’s business, the current project management environment, and their existing processes. The focus of the readiness assessment is to map out the scope of the implementation, the allocation of resources and the schedule through Steps 2-6.

Step 2: Design

The next step is to design our solution to meet our client’s requirements and individual needs. The design details the software configuration (role based administration), portfolio configuration and structure, data management, and the customization of reports and procedures to match our client’s requirement.

Step 3: Prototype / Test

The next step is to test out the design in the client’s environment with a prototype. A prototype system is built based on sample project information provided by the client and is demonstrated and assessed in the client’s “real world” environment. Utilizing the clients sample project information allows us to focus clearly on the functions of the system rather than on the data.

Step 4: Validation

The next step is validation. Before rolling out the system throughout the enterprise we encourage a small number of sample users to begin using (testing) the system. Under our guidance the system will be configured with the clients sample project information. This allows us to identify and update any changes to the processes or system structure prior to roll-out.

Step 5: Rollout

Utilizing the results from step 3 (prototype/test) and step 4 (validation) we begin the next and most important step, the rollout. The success or problems encountered in the previous steps help to fine tune the system and ensure a smooth transition when it is rolled out to the enterprise. The first stage is to identify: the who and the what (resources), the when (schedule), the where (logistics), and how, of the process and produce a detailed plan to execute the implementation of the solution.

The rollout will follow a clear pre-defined plan that has been developed by the implementation team. The stages for rollout include: installation and configuration (server and architecture), end/user workstation configuration, input/import of project data, training of administrators and end users.

Step 6: Assessment

In the final step an evaluation is conducted to assess the success of the implementation. The implementation team and the client will conduct a review of the critical success factors and scope of the implementation in line with the plan to ensure that all the required work has been accomplished.

KPMS host TeamBinder in a secure third-party hosting facility, providing all the hardware and software to run TeamBinder and provide all support, maintenance and backup services as part of a monthly fee.

2.  Lease Model

KPMS provide dedicated hardware and software for you and host this for you in their secure production centre. This means your projects are on dedicated hardware and totally separated from other customers. A separate URL is provided to access the system. With this option again a monthly fee applies but in this case it is higher than with the ASP Model since it covers the provision of dedicated hardware and software. However for a customer running numerous projects this option can be more cost effective than the ASP model as the per project fees are lower.

• Self host (but with reduced IT costs). KPMS continue to manage the installation, providing backup servers and maintenance
• No up-front investment (although there is a minimum contract term)
• Data security, the comfort of knowing your data is on its own hardware
• Can run a company branded version of TeamBinder

3. Enterprise Model

With this model, you self host TeamBinder on your own infrastructure or on that of a third party of your choice.

• Have hardware and software totally under your own control
• Use TeamBinder as a corporate standard (in the long term this model can be more cost effective than the above two options for larger customers)
• Can run a company branded version of TeamBinder

With this option, KPMS can provide:

Project documents are maintained in a central Master Document Register of documents or drawings that displays only the latest Revision of each document. When updated, it seamlessly records historical revisions in the background, in an auditable history file. This ensures that Transmittals can be generated with the latest revisions of drawings with just a few clicks.

Once transmitted, QDMS also remembers who was sent what drawings. When drawings are subsequently revised, QDMS is then able to work out who has superseded drawings and is able to generate transmittals to help update them with the latest revisions.

QDMS maintains a record of all document revisions received, plus all outgoing transmittals and their acknowledgements. This can be a huge benefit in case of a claim that the latest revisions were not sent on time.

While users of QDMS avail themselves to the above benefits, they also report that it standardizes the way they handle documents on all projects. Powerful search facilities, extended reporting and exporting of data make QDMS a must for any engineering/construction project that uses a LAN based server for information management.

QTRAK is an integrated information management system for tracking the large amounts of correspondence generated on projects.

Companies in the past have generally used a combination of word processors and/or pre-printed pads to generate outgoing correspondence, perhaps maintaining a register in a spreadsheet for each type (for example a site instruction register) to keep track of what has been issued or sent. For incoming correspondence there is often no control or at best a manual or spreadsheet register.

QTRAK brings both the incoming and outgoing correspondence management process into a single system with outgoing correspondence generated and sent from within QTRAK using customized templates to meet each client’s individual needs. Incoming correspondence can be registered, scanned and/or imported from your email system.

A single master document register can be used to see all correspondence at a glance, regardless of type or whether it is incoming or outgoing. This is something our clients find particularly useful and is a feature not offered by our competition.

By linking related mail items, using attachments, and /or grouping correspondence into binders, users can take control of their information, enabling fast search and retrieval, and powerful report generation.

QVDMS is one of the very few commercially developed systems designed specifically for the purpose of managing the receipt and review of Vendor Data on major engineering and construction projects.

By defining vendor data requirements in terms of requisitions, package and purchase orders, the expediting of vendor submissions is completely controlled, ensuring that submissions are monitored prior to the occurrence of any delays that may affect the design schedule.

On receipt, vendor submissions are effortlessly distributed for internal (and if required, external) review ensuring contractual obligations are met.

QTIME is the ideal solution for both large engineering offices that need to manage hours spent against budget in terms of deliverables; and project sites where activity based hours are often manually re-processed for payroll purposes. Timesheet data is entered by individuals against a work breakdown structure (WBS) either over the internet via a browser or directly if connected to the Local Area Network.

From this source data, QTIME manages:

• Client Billing (the auto allocation of sell rates to all transactions based on client based business rules)

QMS is a system designed specifically for the management of large quantities of bulk materials such as pipe and fittings, insulation, electrical and instrumentation, and/or structural steel on major resource projects.

Developed in the mid 1990s and fine tuned with customer feedback from it’s use on key Oil and Gas and Power Station projects in S.E. Asia, QMS is proven to deliver a massive return on investment by improving the productivity of materials controllers and reducing the risk of material shortages that are commonly caused by a changing design and late deliveries.

The focus of QMS is primarily on the procurement and construction end of the project materials process. QMS starts by importing the Material Requirements (BOM or MTO) from the design system (PDMS, PMS, etc) and then manages the process of:

DefectInspector uses a unique hierarchical work breakdown structure to map the project in terms of items to be inspected ensuring the inspection process is comprehensive and nothing is missed. The inspection list is uploaded from a PC to a Pocket PC (PDA) device which is then used by inspectors to record the results of their inspection (both items passed and defects).

DefectInspector on the Pocket PC enables not only the capture of defects but also the assignment of responsible contractors and estimated costs to rectify the problems. With an integrated camera, pictures of the defects can be taken and marked up to assist the contractor and maintain a pictorial record.

On returning to the office, the inspection results are downloaded to the PC and automatically emailed by trade to the relevant contractors who fix the defects.

On completion, the contractor updates the inspection list and returns to the Inspector for automatic update of the Defects Register and DefectInspector and re-inspection by the inspector.
